If like me your organisation has a number of shared mailboxes configured in Office 365 you get very frustrated when trying to access these mailboxes from a mobile device. The official line is that they are not supported on mobile devices. A-ha! I’ve got it working, with the help of the good old Internet, and I thought I’d share the process with you. These instructions cover Windows 10 Mobile (anniversary update) but I believe that the instructions can be adapted to work on iOS (iPhone/iPad) and maybe Android. However I’ve not tested those platforms so please don’t shout at me if they don’t work.
Setup Office 365 Shared Mailboxes on Windows 10 Phone
Get your phone out and go to “All settings”
Tap “Email & app accounts”
Tap “Add an account”
Tap “Advanced Setup”
Tap “Internet email”
Populate the fields as follows
- Email Address: firstname.lastname@example.org
- Username: email@example.com\firstname.lastname@example.org
- Password: password for the user.account (see note below)
- Account name: Shared
- Send your messages using this name: Shared – Company Name
- Incoming server: outlook.office365.com
- Account type: IMAP4
- Outgoing server: smtp.office365.com
NOTE: If you have MFA enabled on your user account you’ll need to setup an App Password to enter instead of your normal password.
Untick “Use the same username and password for sending mails”
Outgoing server username: email@example.com
Outgoing server password: user.account@domain account password or app password as you entered above.
Tap “Sign in”
That’s it, you should now be able to receive and send email from the shared account in Office 365
